Week 1
We map every system, data source, and manual touchpoint.
The audit is a structured investigation of your operation. We map every system in your stack, every data source your team touches, every supplier format you receive, and every manual step in your workflows. By the end of the audit, we have a complete picture of what needs to be automated and how.

Stage 3
Build
Weeks 1–3
Our engineers build your system from scratch.
Based on the audit specification, our engineers build your system. Every line is written by us — no platforms, no templates. The build is configured precisely to your data structures, your supplier formats, your system APIs, and your team's workflows. We work against the specification agreed after the audit, so there are no surprises.

Stage 4
Validate
Week 3–4
Real data. Human review. Your sign-off.
Before anything goes live, we run the system against your real data in a controlled environment. Every output is reviewed — by our engineers and by your team. We check every edge case we identified during the audit. Nothing is approved until both sides are satisfied that the system is working correctly.

Stage 5
Go Live
Week 4
Your system goes live. Your team gets their time back.
With validation complete and your approval given, the system goes live on your real operation. From this point, the process it handles runs automatically. Your team stops managing it manually. We provide full documentation covering how the system works, what it does with edge cases, and how to monitor its outputs.

Common questions.
How long does the process take?
From first call to live system in 2–4 weeks depending on the complexity of your operation. The exact timeline depends on the number of systems we need to connect and the complexity of your data flows. We will give you a realistic timeline at the end of the discovery call.
Do I need technical knowledge to work with STRATIS?
No. You need to understand your operation — what your team does, what data you deal with, what systems you use. We handle everything technical. Most of our clients are operations managers, business owners, or sales directors, not technical staff.
What data do you need access to?
This varies by system type. For most builds, we need read access to your current data sources (supplier files, CRM records, system APIs) and write access to the systems we will update. We work within your existing permission structure and document exactly what access we use and why.
What happens if the system needs changes after go-live?
We hand over full documentation and are available for adjustments. If your operation changes — new suppliers, new data formats, new routing rules — the system can be updated. We can discuss ongoing support arrangements for businesses that anticipate regular changes.
Is my data secure?
All systems are built in compliance with UK GDPR and the Data Protection Act 2018. Data is processed only as necessary and never shared with third parties. We do not store client data beyond what is required for the build and validation process. Full details are in our Privacy Policy.
What integrations do you support?
If a system has an API, we can integrate with it. Common integrations include Salesforce, HubSpot, Pipedrive, Shopify, WooCommerce, Xero, QuickBooks, various 3PL platforms, and direct database connections. We will confirm integration feasibility during the discovery call.
What if the audit reveals that automation is not the right solution?
We will tell you. If your operation is not at the right scale for automation, or if the manual process you want to replace is genuinely simpler than an automated alternative, we will say so. We would rather give you an honest answer than build a system that doesn't deliver value.
